Description

The Pacific States Marine Fisheries Commission (PSMFC) is seeking seasonal Administrative Assistants to join our Disaster Relief program, located at our headquarters in Portland, Oregon.

Position/Project Specifics:

The Program Assistant will support the Fishery Disaster Program Manager and collaborate with staff to facilitate workflow, including:

  • Word processing, authoring correspondence, photocopying, mailing, and managing phone calls and emails.
  • Reviewing and editing documents for clarity, content, and adherence to policy.
  • Assembling information for reports and conferences.

Essential Functions:  (The functions listed below are characteristic of the type and level of work associated with this group and pay band.  They are not all-inclusive. Individual positions may perform some or all, as well as other similar work.)

At the lower end of the range, employees perform standard and non-standard clerical assignments for the office and resolve a variety of non-recurring problems.  The employee must identify and understand the issues involved, determine what steps and procedures are necessary, and decide on the order of their performance.  Completion of each transaction often involves selecting a course of action from a number of possibilities.  Typical duties at the lower end of the range may include:

  • Provide administrative support to the Fishery Disaster Program Manager.
  • Compose occasionally complex but non-technical correspondence.
  • Respond to inquiries about program goals via phone and email.
  • Prepare reports and informational materials for the Fishery Disaster Program Manager.
  • Assess documents for completeness and address any concerns.
  • Accurately input and update information in databases and spreadsheets, ensuring data is organized and accessible.

Desirable Knowledge: 

  • Proficiency in Microsoft Office Suite.
  • Strong keyboarding skills.
  • Excellent customer service abilities.
  • Understanding of commercial fisheries a plus

Complexity:

The assignments are diverse and the employee must exercise considerable experience and proficiency in office and organizational skills.  The employee must judiciously manage time and resources to accomplish goals.

Scope and Effect:

The work provides non-technical office support for the staff and affects their ability to achieve administrative, project, and/or program goals. 

Physical Demands:

The work is sedentary.  Employee may need to carry light items such as files or pamphlets but work does not require any special physical effort.

Work Environment:

The work area is adequately lighted, heated, and ventilated.  The work environment involves everyday risks or discomforts that require normal safety precautions.

 Minimum Qualification Requirements:

  • Associate's degree required; bachelor’s degree preferred.
  • One year of relevant specialized experience.
  • Strong attention to detail and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Compassionate approach in interactions.
  • Preference for candidates with a basic understanding of commercial fisheries.

A range of experience and education may be presented.  At the lower end of the range, candidates must present one year of General Experience* OR fours years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite.  An equivalent combination of experience and education is also qualifying.

At the upper end of the range, candidates must present one year of Specialized Experience.**

*General Experience is progressively responsible clerical, office or other work experience that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position being filled.
