Ministry: Pregnancy & Adoption Support
Primary Office: Fairfax
Hours per Week: 20
Starting Hourly Rate: $21.59
Staff Supervisor: Adoption Supervisor
Telework Available: Hybrid
Position Description:
The office administrative assistant for Catholic Charities Pregnancy & Adoption Support provides strong customer service as the primary point of contact for incoming phone calls and emails. The position handles a wide range of administrative tasks and requires a strong knowledge of administrative processes, policies and practices including bookkeeping.
Position Responsibilities:
• Knowledgeable in ministry policies and procedures to screen and refer inquiries for help or services through PAS, CCDA or the wider community resource base.
• Manages office supplies
• Prepares vouchers, handles invoices and expense accounts
• Maintain databases, updating client data records and assisting with reports
• Provide administrative support as needed
• In collaboration with the Office of Volunteers, manages and coordinates volunteers.
Other Duties:
• Assist with logistics, running errands, manage off site storage
• Manages the baby closet( located in Woodbridge) including donations and delivering goods to clients
• Willing to uphold Catholic social teaching. Commitment to mission, goals, and services of Catholic Charities Diocese or Arlington.
Qualifications & Skills:
• Bilingual Spanish/English preferred
• Demonstrates flexibility and willingness to adapt to changes in the work environment, embracing new challenges and processes with a positive attitude. Able to manage and thrive in an evolving workplace.
• Proficiency in Microsoft office and other relevant software including databases required
• Effective communication and interpersonal skills required
• Ability to handle sensitive and confidential information per HIPAA and Agency guidelines
Education and Experience:
• 1-2 years of experience in and administrative office support tole preferably in a non-profit organization.
• Experience providing customer service preferred
Physical Demands: While performing the duties of this job, the employee is occasionally required to sit for periods of time and light lifting up to 25lbs.
