Description
PRIMARY RESPONSIBILITIES
- Assist with managing faculty schedules, conferences, and travel, including completing reimbursement forms.
- Answer phone calls and direct to appropriate office or take message.
- Plan and oversee receptions for departmental events.
- Produce and post filers for departmental events.
- Operate office equipment, such as phone systems, copiers, fax machines, and/or computers. Coordinate the maintenance and repair of office equipment.
- Submit work order requests to resolve office/building issues.
- Sort and route incoming correspondence. Prepare outgoing mail.
- Data entry, prepare reports, letters, spreadsheets, and other documents, including EAFs (Employee Action Form) and EPAF (Student Employee Personnel Action Form), using work processing and database forms and software.
- File and retrieve documents, records, reports, and other materials.
- Maintain supply inventory, anticipate needed supplies, place and verify orders.
- Coordinate and place book orders per established processes and timeline.
- Assist in maintaining the department websites in coordination with Chair, including loading course evaluations and other records on shared departmental drives.
- Monitor and reconcile budget to track expenditure using appropriate system.
- Assist in the preparation and/or proctoring of examinations.
- Hire student workers, manage their schedule, and time approval.
MINIMUM REQUIREMENTS
- High school diploma/GED.
- Ability to communicate effectively and grammatically, both orally and in writing.
- Strong interpersonal skills and the ability to work effectively with others.
- High degree of flexibility.
- Ability to maintain emotional control under stress.
PREFERRED QUALIFICATIONS
- Some college work.
- Office and administrative experience.
ADDITIONAL INFORMATION
This position is 40 hours per week- 20 hours per week in each department.
