Position Summary
The Event Coordinator is a full-time permanent position in the Institutional Advancement Division. The Event Coordinator plays a highly visible role with the primary responsibility of implementing all fundraising, donor cultivation and stewardship events for the Bellevue College Foundation (BCF) and select college events for the President's Office.
Working in the BCF office, the Event Coordinator reports to the Event Manager. This position will have primary responsibility for executing annual Foundation events and assisting campus partner programs with their fundraising and event logistics. This position will also support the BCF development staff, Board of Directors, leadership and other key volunteers to achieve annual fundraising goals of the foundation.
Responsibilities include supporting and complying with event timelines and strategy; identify and secure vendors (including catering, audio visual, etc.) and event talent (speakers, emcees, etc.); recruit and oversee volunteers; negotiate contracts with venues and vendors; coordinate event programing and scripts; direct on-site support staff, volunteers, and vendors; participate as staff support for the Foundation Board Events sub-committee; assist with the coordination of logistics for cross-division events such as groundbreaking ceremonies, grand opening events, open houses, alumni association events, etc.; perform related duties as required.
Pay, Benefits & Work Schedule
Position Salary Range: $55,819/year - $78,147/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically, new hire starts no higher than $61,401/year based on Bellevue College Exempt salary schedule.

The employee is scheduled to work 40 hours per workweek. This position is exempt from the overtime provisions of the Fair Labor Standards Act, which means that you are not eligible for overtime pay.

About the Department
Institutional Advancement is the external facing division of Bellevue College which includes marketing, website content, KBCS radio station, public relations, creative services, grants, and the Bellevue College Foundation. The foundation works with the college to build a culture of philanthropy and support. The Foundation's purpose is to raise funds to fulfill the mission of the Foundation and thereby the college's mission. The foundation's goal is to increase its impact on the college and community by increasing capacity and contributed revenue, connecting the college and the community, and serving as a customer service unit to the college.
Essential Functions
Events Logistics
• Support and comply with event timelines and strategy.
• Work closely with BC Event staff to coordinate all event location and resources for BCF sponsored events.
• Identify and secure event vendors (including catering, audio visual, etc.) and talent (speakers, emcees, etc.)
• Negotiate contracts with venues and vendors.
• Coordinate event programing and scripts.
• Assist with the coordination of logistics for cross-division events such as groundbreaking ceremonies, grand opening events, open houses, alumni association events, etc.
• Auction/Raffle procurement and gift tracking.
• Adhere to legal and compliance policies for the college and state of Washington.
• Debrief events with stakeholders and create continuous process improvement plans.
Coordination
• Recruit, schedule and facilitate volunteer participation on site.
• Direct on-site staff during event activities including pre and post event.
• Participate as staff support for the Foundation Board Events sub-committee.
• Post on social media platforms, as needed.
Revenue Generation
• Track event analytics and make recommendations to improve ROI (return on investment)
Cultivation and Stewardship Activity Support
• Schedule meetings and activities for the foundation and other appropriate college leadership, with donors, prospects, and key community stakeholders
• Providing exemplary customer service to all stakeholders
Other
• Other duties as required
Minimum Qualifications
• Associate's degree or equivalent experience. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
• Minimum two (2) years of successful event support and/or execution.
• Demonstrated ability to manage multiple projects simultaneously, to set priorities, and to follow through on projects.
• Demonstrated knowledge and experience using event management and scheduling software.
• Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint.
• Effective written and verbal communication and organizational skills.
• Effective interpersonal skills and professional demeanor; ability to create productive work relationships with a broad spectrum of individuals both inside and outside of the College.
• Experience working in a collaborative environment with diverse employees and customer/client groups or volunteers.
• Ability to work independently as well as in a team setting.
• Ability to work early mornings, evenings and weekends as needed.
• Demonstrated understanding of the value of higher education.
Preferred Qualifications
• Bachelor's degree.
• Experience recruiting, managing, and working with volunteers.
• Intermediate to advanced computer skills including Microsoft Office; donor and event management software (including Greater Giving and Blackbaud Raiser's Edge); scheduling Software (preferably 25-Live).
• Experience in higher education event planning or nonprofit event planning.
• Social media and website management skills.
