Description
Job Function: Primary focus of this onsite position is to support program management, leads, and team members. This will include documentation review, logistics databased, entry/management, inventory tracking, travel/expense reports, and management of program lists (distribution lists, organization chart, calendars, etc.), meetings and events
Position responsibilities primarily include the tasks below:
- Support the Logistics & Fielding team reviewing contract deliverable documentation for errors in formatting, content, grammar, spelling, and punctuation
- Database entry and management for logistic system information
- Assist in review of training materials and course conduct documentation used in fielding
- Overseeing shipping procedures and communicate with logistics staff
- Support for inventory management and record keeping
- Support team with travel coordination and arrangements and expense reports
- Support meeting coordination, scheduling and setup events
- Support Program Management team as required with files, meetings, customer coordination, etc.
- Other duties as assigned.
The ideal candidate must possess the following experience, competencies, and qualities:
- Minimum 4 years administrative support experience, a relevant bachelor’s degree or other relevant work experience
- Sound judgment capability and discretion with confidential information
- Problem solving capabilities
- Strong reading and editorial skills
- Database entry and management
- Proficient in Microsoft Products (Excel, Word, PowerPoint)
- Self-starter who can organize assignments, prioritize tasks, and complete projects on time
- Must be able to work independently with minimal supervision
- Attention to detail required
- Must be a team player
Desired experience, competencies, and qualities:
- Using Visio or other diagramming tools to create/modify organizational hierarchies and flow charts
- Knowledge of Confluence, JIRA,
- Booking and managing travel reservations with various travel agencies
- Local travel to CESI facility in Orlando may be required 3-5 days a month
- Travel to off-site fielding locations is possible up to 10% of the time
Other Requirements: Please note that pursuant to a government contract, this specific position requires U. S. Citizenship status with ability to obtain a SECRET to TOP SECRET security clearance. Security Clearance requirements will be specified in the Government's Task Order.
