The Opportunity: We are seeking to hire a Lead Administrative Specialist to join our Administration Team. Our Lead Administrative Specialist performs administrative and clerical support duties with a variety of work tasks including direct administrative support, scheduling and providing leadership to other clerical/administrative staff. Work is differentiated from the Administrative Specialist level due to the decisions made in performing the variety of tasks, the knowledge and skills required, and independence of action and judgment exercised in the work. Work requires a broad understanding of the EHR, and detailed knowledge of the secretarial functions, policies, processes, procedures and work activities. Unusual and or precedent setting situations are referred to the Director of Administration. Serves as backup to the Executive Assistant to the CFO and Mailroom Clerk.
What You’ll Do:
- Perform a variety of critical and sensitive data entry functions via EHR.
- Maintain and improve as appropriate master schedule of administrative specialist team meetings.
- Manage Administrative Specialist and Mailroom Clerk schedules, approving scheduled time off and adjusting staffing as necessary to accommodate both scheduled and unscheduled absences.
- Field and respond to general administrative support requests and questions, delegating tasks to individual administrative specialists as necessary and appropriate.
- Serve the administrative support function for the Outpatient Commitment Process.
- Ensure agency mail is processed effectively on a daily basis.
- Maintain administrative and breakroom related supplies, submit purchase orders, supply and material orders to the Director of Administration.
- Facilitate training of Administrative Specialists and Mailroom Clerk, both new hire and OJT/continuous improvement.
- Operate personal computer and peripheral equipment, photocopier, and other office equipment with a high degree of skill.
- Observe all rules of confidentiality as it relates to clinical information, both internally and in dealing with outside individuals and/or agencies.
- Responsible for being knowledgeable about rights of individuals served and the procedures governing them.
- Participate in ongoing agency and staff training/development programs.
- This position is full-time (40 hours a week) working normal business hours.
What We’re Looking For:
- High school diploma/GED required.
- Minimum of one year in an administrative role required.
- Demonstrated capacity for leadership, process design, and problem resolution via past roles, work, or training.
- A car and a valid Ohio driver’s license and insurability through the Agency’s insurance carrier required.
- Direct experience with databases, preferably with an electronic health record such as Credible.
- High degree of efficiency in navigating within the Microsoft 365 environment, particularly with the use of Sharepoint, One Drive, and Teams. Intermediate level Excel and Outlook.
- Excellent organizational, attention to detail and communication skills.
- Ability to work in a team environment.
- Commitment to confidentiality, following rules of HIPAA.
- Skill in managing time and meeting deadlines.
