Description
SUMMARY
UD is currently seeking a hospitality focused Conference Services and Summer Operations Manager responsible for marketing and promoting the university through its engagement with internal and external constituents and by creating unique UD campus experiences with special events, meetings and conferences.
PRIMARY RESPONSIBILITIES
- Execute logistics for special events, meetings and conferences with responsibility over all summer activities (conferences, camps, etc.) and events throughout the academic year.
- Responds to leads and inquiries, prepares bid packages and RPFs for external conferences, camps, and special events held on the university’s campus. Execute event contracts including insurance and with a risk management focus. Obtain certificates and monitor compliance with local and state regulations and requirements. Provide meeting and conference staff support during events with on-call support.
- Consult, plan and implement university sponsored and/or supported conferences with partner organizations.
- Create and distribute event/venue use information to campus stakeholders, departments and service providers.
- Plan, implement and manage certain campus wide activities, including but not limited to Graduation Reception, Trustee engagement activities. Consult and assist with Alumni & Family Weekend, Baccalaureate Mass, Groundhog- Alumni and other campus event logistics.
- Manage twelve-week intern housing program and housing associated with summer event contracts. Work with university departments and partners to balance campus needs.
- Coordinate purchases and manage inventory of special event, camp and conference supplies.
- Create, reconcile and manage department budget.
SUPERVISORY RESPONSIBILITIES
Student assistant during the academic year. Conference staff during the summer includes one full-time Coordinator and two to three part-time assistants.
MINIMUM REQUIREMENTS
- Bachelor’s degree in hospitality, event management, business administration, or related field.
- Previous event experience.
ADDITIONAL INFORMATION
The position requires the ability to work irregular work hours, including nights and/or weekends.
